It is time to complete the required annual certification of leave balances through WolfTime. Below are instructions for this process. This email applies to all employees who earned leave in 2021. If you currently are not earning leave, you may disregard this email.

The deadline to complete the certification process is Feb. 21. Departments and units may have established and communicated internal deadlines that occur before the final deadline. If your department or unit has an earlier deadline for leave certification, please adhere to that deadline.

How To Certify Leave Balances

  1. Submit your outstanding leave balance requests for 2021.
    • Before you can begin the leave certification process, you must submit any outstanding leave requests for absences from Jan. 1 to Dec. 31, 2021. If you do not have any outstanding leave requests for 2021, move to step 2.
    • Supervisors must review and approve their employees’ leave requests.
    • The deadline for employees to submit their outstanding leave requests and for supervisors to approve those requests is Feb. 20.
  2. Complete the leave certification process.
  3. Review your certification email.
    • After your supervisor approves your certification, you will receive an email notification. If your manager denies your certification, the certification process will be canceled, and you will receive an email explaining the reason for the cancellation.

Leave Coordinator Certification Review

Leave coordinators do not need to approve employee certifications for their units. However, if supervisors are unable to approve their employees’ certifications for any reason, a leave coordinator can approve the employees’ absence certifications with approval from the supervisor. Important RemindersIf you have a pending leave request, you cannot complete the certification process. If your supervisor approves your request, your leave balance will not reflect the correct leave amount until after the overnight absence management update. For example, if your supervisor approves your leave request Thursday, you will need to wait until Friday to certify your 2021 leave balance.

COSS employees cannot carry over a negative leave balance to the following year. If an COSS employee does not have any leave time available, the employee’s absences must be changed to leave without pay, and the overdrawn leave amount will be subtracted from the employee’s next paycheck.
